Configuration Management
After choosing to implement CE-IT Live, one Ohio customer quickly
learned the benefits of having CE-IT Live and the expertise of Renovo
Solutions in place. One of the first steps the Clinical System Engineer
performed was to begin compiling the inventory of integrated systems and
the attached medical devices.
The next step was to repopulate the database with detailed information
missing from several of the devices. Adding the appropriate ISM fields
to the pre-existing devices represented in the asset management
inventory enabled the information to be easily captured.
Upon capturing information on a particular server, the Clinical System
Engineer immediately noticed the free space on a hard drive for a
critical server was dangerously low. Though the users had not yet
noticed any issues, the CSE could start the troubleshooting process and
proactively address the issue before any patient data was lost.

Problem Management
Soon after identifying a full hard drive on the ECG management system,
the CSE at a local hospital realized that this event was not simply a
break fix issue. If the root cause of the problem wasn't identified, it
would only be a matter of time before it happened again.
During his investigation, the CSE found that the SQL database was
growing faster than had been expected. The backups were not being moved
to the archive server as originally thought. The CSE initiated the
Problem Management process to document the error and findings.
After contacting the vendor, the CSE was instructed on a workaround to
delete the old backups until a new hard drive could be installed and
configured.

Change Management
After learning from the vendor that the hospital's ECG management system
would need a hardware upgrade and database migration to continue proper
operation, the hospital's CSE initiated the change management process
to ensure that the change would be implemented efficiently to minimize
the impact on organizational operations.
Starting with the original problem, the CSE could easily create a Change
Event and create the documentation needed for the change.
After the change was approved, it was carried out with each task
accurately documented. The documentation was already tied to the
original problem, so closing out the problem with full documentation was
as easy as clicking a single button. By implementing project management
principles within the change process, proper communication was ensured
along with budget and time frame compliance.

Security Management
After a near failure of the enterprise ECG management system, one
hospital's risk manager was rewarded with HIPAA compliance and a solid
disaster recovery solution. Soon after recognizing a configuration
issue, the hospital's CSE began to work with the security officer to
analyze the hospital's policies and procedures. The CSE then used CE-IT
Live to document the administrative, technical and physical safeguards
in place with the ECG system.
Since the hospital had policies on disaster recovery and system backups,
the CSE was able to incorporate the backup plan into the scheduled
change event for the system. He also took the opportunity to have the
vendor sign the organization's business associate agreement to wrap up
some loose ends involving password management.
Upon completion of the project, all unknowns about the system had been
documented. The department manager could relax knowing that the system
was now working properly and was in compliance with hospital policy and
HIPAA regulation.
